Introduction

The Controller of Examination (CoE) Office at Jamia Millia Islamia is a cornerstone of the university's academic framework. Functions of the Controller of Examination Office

The CoE Office at Jamia Millia Islamia performs a wide range of responsibilities to maintain academic standards and facilitate efficient assessment processes. These functions include:

  • Preparing and publishing the academic calendar for semester and annual examinations.
  • Coordinating with departments to finalise exam timetables and schedules.
  • Managing logistics for smooth execution of examinations, including venue allocation and invigilation assignments.

  • Overseeing the preparation, review, and approval of question papers in coordination with subject experts.
  • Ensuring the confidentiality and secure storage of question papers until examination day.

  • Organizing and supervising internal, semester, and entrance examinations across various disciplines.
  • Addressing issues such as exam malpractices, discipline, and adherence to examination rules.
  • Making special arrangements for students with disabilities or those requiring unique accommodations.

  • Managing the evaluation process, including the distribution and collection of answer scripts to/from examiners.
  • Compiling and verifying results to ensure accuracy and fairness before publication.
  • Publishing results within stipulated timelines to facilitate timely progression or graduation.

  • Handling requests for the re-evaluation or rechecking of answer scripts submitted by students, in accordance with the relevant university ordinance, wherever applicable.
  • Addressing grievances related to results, examination eligibility, or other related issues in a transparent manner.

  • Issuing essential examination-related documents such as admit cards, transcripts, mark sheets, and certificates.
  • Providing assistance to students in resolving discrepancies related to examination records or documentation.
  • Providing verification of degrees, diplomas, certificates, and mark sheets when required by prospective employers.

  • Conducting entrance tests for admission to various undergraduate, postgraduate, and doctoral programs offered by Jamia Millia Islamia.
  • Ensuring a fair and unbiased selection process.

  • Maintaining and securely storing examination records, such as question papers, answer scripts, and result data, for academic and administrative purposes.
  • Facilitating data retrieval for audits, legal requirements, or alumni requests.

  • Implementing online examination systems and digital evaluation tools to improve efficiency and reduce errors.
  • Establishing online portals for result publication, grievance submission, and re-evaluation applications.

  • Formulating and implementing examination policies that comply with the guidelines issued by the University Grants Commission (UGC) and other regulatory bodies.
  • Monitoring adherence to academic regulations and ethical practices during examinations.

  • Collaborating with academic departments, faculty members, and university administration to align examination procedures with the university's academic goals.
  • Acting as the primary point of contact for students and external bodies regarding examination-related matters.
